It is your responsibility to control your MS SQL database log size. If it gets too big for the Size you have allotted then you will get an error in your application. You can fix this one of different ways. One way is Changing Your Database Data/Log Ratio in your hosting control panel section if you have that function from your hosting provider. The second is to execute the following SQL commands(after you back up your database) together from MS Query Analyzer or MS SQL 2005 Server Management Studio which is logged on to your database:

BACKUP LOG YourDatabase WITH TRUNCATE_ONLY
DBCC SHRINKFILE(YourDatabase_log, 2)

Replace the text “YourDatabase” with your database name and replace the number 2 with the MB size you want to shrink your log file down to. Use 2 as your minimum as that will reduce your database log file to 2 MB. After replacing the text with your database name and setting the MB size of the log file, execute both SQL lines above together.

The third way to solve this issue is to place this SQL :

BACKUP LOG YourDatabase WITH TRUNCATE_ONLY
DBCC SHRINKFILE(YourDatabase_log, 2)

in your application code, replacing the “YourDatabase” text with your database name and setting the size of the log file, and executing this SQL dynamically. Best case is to add these 2 lines of SQL script above to a stored procedure and schedule the stored procedure to run nightly. Of course you want to back your database up before your run this script if you want to maintain a copy of your full sized log file.

Things changed for SQL Server 2008. He is a way to handle it for SQL Server 2008 databases:

CREATE PROCEDURE [dbo].[SRINK_Log_File_To_1MB] AS
BEGIN

— Truncate the log by changing the database recovery model to SIMPLE.

We are doing another post on this since it is so critical and few understand what an accounting Cost of Goods sold account is.  A Cost of Goods Sold account is a type of expense account on your Profit and Loss Statement(Report) also called an Income Statement (Run this reports oftem not just at year end).  A Cost of Good Sold expense are expenses directly releated to the sale of an item.  If you are not looking at your Profit and Loss Statement very often you are out of touch with your business.

When setting up your accounting system, set up sales by sector and Costs of Goods sold by matching sales sector so you can get a gross profit picture on each area (sector or department) of your business.  Cost of Goods sold should be logical groups such as Commissions Paid For Online sales, or SubContractor Fees For Certain Type of Sales Sector.

A small grocery store did this and found that their deli department was not making enough money so they eliminated their deli department and concentrated on the departments using the freed up space where they were making good profits.

So you should analyze the departments or sectors of your business to see which is most profitable and which is least and what you should do to improve your overall bottom line profit picture.

It is very important to keep your web server or database server free of malware and clutter. Make sure your c drive has at least 5 gig of available space on it. Some firms that have had server problems due to the fact that they only had 1 gig of space remaining on their C: drive. The next thing that can happen is the system starts swapping memory and begins to run very slowly. Eventually the system will crash with not enough spare disk space allocated. This could also lead to system file corruption or memory parameter errors.

Also it is a very good idea to move the swap file to a drive that is not the system drive, for example the e: drive or d: drive. Overall just keep your system clean, run a good antivirus program and only run programs and services that are absolutely needed on your windows server.

If you have a database server on the dedicated server and are doing regular database backups, firstly, make sure the backups are to a different drive than the originals are on, and secondly, make sure you clean up old backups files or you will eventully run out of disk space if you have some fair sized databases.

Whatever Accounting Package you use (such as QuickBooks), set up different sales accounts by sector that you sell to. One sales account could be contract sales ( face to face sales), another sales account could be online e-commerce sales, another could be sales by territory (i.e. State or Country). Then set up Cost of Goods Sold Expenses accounts to match these new sales accounts in your Accounting package.    Enter Cost of Goods Sold expenses that relate to that Sales sector only.
